PMO.3.004:

The mission of the PMO (Paymaster Office or Office for the administration and payment of individual entitlements) is to provide a high-quality and user-friendly service to beneficiaries by promptly and accurately managing, determining and paying individual rights and expenses (e.g., salaries, pensions, sickness insurance reimbursements and mission expenses).

Unit PMO.3 “Sickness Insurance I” is one of the three units responsible for managing the Joint Sickness Insurance Scheme (JSIS), which has almost 180.000 beneficiaries. The other two units are in Luxembourg and Ispra. Unit PMO.3 is located in Brussels and consists of four sectors: (i) Tarification; (ii) Accidents and Occupational Diseases Insurance; (iii) Service to JSIS members, (iv) Medical Authorisations, for a total of some 120 persons.

Sector PMO.3.004 (Medical authorisations) deals, inter alia, with the approval of prior authorisations and the recognition of serious illnesses. The sector comprises 23 cases handlers, 7 medical officers and 2 dentists.

The agents of the Serious Illness, Disability, Dependence team in the Brussels Settlements Office are led by a Team Leader and supported by a team of doctors and dentists, tarification and settlement controllers, rights specialists, IT specialists, mail officers, etc.

We propose:

We propose a Contract Agent FG II position as an Administrative Support Agent – Secretariat of the Medical Officers Team in the Secretariat of the Medical Officers Team. 

The colleague will be the administrative support for the JSIS Medical and Dental Officers, and will be responsible for processing the requests of JSIS members for prior authorization for medical procedures and/or treatments, serious illness recognition, and authorisations for dental treatments. They will reply to questions from JSIS members through the Staff Matters Portal.  They will collaborate with other JSIS sectors within the unit and in the units based in Ispra and Luxembourg.

As part of the multi-skilled nature of the job, she/he will be required to meet JSIS members directly, deal with telephone calls, emails or equivalent and letters. With experience, she/he will be required to follow up specific files.

The selected colleague might also be requested, in the interest of the service, to work in one of the Unit’s Sector, in particular within the Front Office. Such a position is highly rewarding, offering the opportunity for the handler to provide help and support to our members, sometimes at crucial moments in the life of our JSIS members. The effects of the work done are directly visible, which is very rewarding on a human and intellectual level.

Please note that, in 2024 a temporary task-force will be created in PMO to manage the end of service of Parliamentary Assistants. Successful candidates may be attached temporarily to this team offering them the possibility to discover a different angle of PMO activities.

The person chosen for the job will be dynamic, with a high level of service orientation, discretion, flexibility, and professional conscientiousness. A high level of resilience is required and understanding of the strict rules on medical secret.

The successful candidate should establish and maintain a good relationship with JSIS members, colleagues and with other services.

The ideal candidate has good computer skills (Word, Excel, Powerpoint, Outlook) and is ready to invest in acquiring sufficient knowledge of the Commission administrative procedures.

They feel comfortable working in a team, with colleagues inside and outside PMO

The ideal candidate possesses good analytical and organisational capability and would ideally have a good knowledge of the rules of JSIS. They should be able to draft reports, administrative notes, and briefing contributions - a good command of written and spoken English and French is required.

Knowledge of any other Community languages (German, Italian) will also be considered as an asset.Please note that the PMO places great importance to customer service. The selected candidate is expected to be client-oriented and might be required, in the interest of the service, to work directly with customers, for instance, in front office team.
