We are

The Human Resources and Security General Directorate (DG HR) oversees recruitment policy, training and career management, social policies and working conditions for Commission staff. It is also responsible for keeping buildings and employees safe and secure, making sure that work continues during crises and dealing with online security.

Part of the DG HR is the Security Directorate’s “Technical Security” unit (HR.DS.3). Its mission is to ensure a high level of technical and physical security in all Commission premises in Belgium, Luxembourg and Strasbourg.

In particular, the unit is responsible for:

- Commission access policy and access control systems;

- Installation and maintenance of technical security systems and equipment (including badge or biometric-operated doors,

- CCTV, intrusion detection, x-ray machines, walk-through metal detectors, safes;

- Design, programming and issuance of access cards;

- Information technology of access security systems;

- Implementing infrastructure-based security improvements, including hostile vehicle mitigation.

HR.DS.3 is currently composed of some 50 colleagues, including 15 colleagues based in Luxembourg.

We propose

We propose an interesting and challenging position, in our Technical Security Installations & Maintenance Sector (HR.DS.3.002), to manage and administer our Computerised Maintenance Management System (CMMS – Optimus) for the Unit’s Brussels-based technical security maintenance activities. The job offers the possibility to also contribute to other activities of the Unit in Brussels.

To carry out these duties, the Contractual Agent will also be called to work closely with other Commission services.

In particular, the Security Assistant will be responsible:

• To provide the necessary assistance and advice for the corrective and preventive maintenance of technical security equipment.
• To create in Optimus CMMS new zones, buildings and areas and manage them accordingly.
• To operate the Optimus CMMS, for the insertion of the necessary maintenance activities and follow-up.
• To participate in meetings, in relation to his/her duties.
• To contribute to the tasks of the Sector and cooperate with the rest of the colleagues for all the Optimus-related tasks and activities.
• To update, monitor and control the data related to the stock of spare parts for the technical security equipment. To insert the new equipment and spare parts in the inventory and de-commission the equipment which is removed. To assist in the acceptance of the new equipment.
• To insert and/or supervise the insertion in Optimus of all the reports, financial data, working hours etc in relation to maintenance.
• To act and operate as the Optimus expert, fully exploiting and taking advantage of all the capabilities of the respective software, also providing support to other colleagues who operate Optimus. In that regard, s/he will have to work closely with the IT sector of the Technical Security Unit, along with the respective company who provided the respective software.
• To ensure relations and cooperate closely with the maintenance and troubleshooting contractors.
• To create and ensure the placement, in coordination with the Control Operators, of the identification stickers for every piece of technical security equipment.
• To assist to the work of the Sector’s Technical Security Installations Maintenance Team and provide assistance to the respective Team leader, as requested.
• To provide the necessary data and feedback extracted by Optimus, as requested, such as statistical data related to certain malfunctions, financial data, working hours needed for certain type of maintenance, so as for the Hierarchy to be able to take certain decisions related to the respective technical security equipment and to control the activities of the contractors.
• To supervise and support the Control Operator who is detached to the Maintenance Team as an Optimus Operator.
